How We Work

We want you to have the best experience possible in Portugal.  We know that we can provide you with an exceptional itinerary that you will always remember.  Our advantage over others include our decade of acquired knowledge of the destination, the hand-picked partnerships we developed and the passion to showcase the multifaceted culture, flavors and geography of the county. 

Itinerary Planning

After a complimentary consultation, our services for itinerary planning include:

  • Suggesting the best accommodations available for your lifestyle 
  • Identifying experiences and tours to thrill, entertain and educate
  • Matching the appropriate expert guide(s) that best meets your expectations
  • Arranging transfers to/from airport, scenic drives to distance places or on-call availability
  • Booking tickets for museums, concerts and venues
  • Making reservations at recommended restaurants
  • Preparing an informative itinerary guide, with all of the information, dates, contact details you require

Planning Fee

We are sure you appreciate that this level of attention, service and expertise is time and resource intensive. With this, we require a non-refundable Planning Fee due at start of service based on the following:

  • Two travellers, full itinerary planning up to seven days (if one person is paying) - €250.00
  • Two travellers, full itinerary planning over seven days (if one person is paying) - €300.00
  • Each additional person on the itinerary (if one person is paying the full itinerary) - €100.00
  • Each additional person on the itinerary (if paying separately) - €125.00

Change Fee

Should you require a change to the itinerary after final approval, we request the following fees:

  • Per person for any each change to hotel, tours or other supplier after itinerary is approved and deposit made - €50.00
  • Per person for any changes to hotel, tours or other supplier after itinerary and other documents have been completed and issued - €100.00

Cancellation Fee

Please see our cancellation policy in the next tab. Please note travel insurance is strongly recommended. Should you need to cancel your itinerary, we require the following for administrative costs.

  • Per person, cancelling itinerary after final payment has been made, in addition to any supplier penalties that may apply - €100.00

Typically, for a simple one-off bookings of a single tour or hotel room, we will waive the Planning Fee. This depends on the level of time and resources required. Therefore, fees for these single bookings will be determined on a case-by-case basis.

Our Responsibilities

Portugal Confidential Experiences will use its full complement of expertise and relationships to make your visit to Portugal a pleasurable and worry-free experience.  We will respond within 48 hours of initial contact to organize a complimentary consultation.  After our communication, we will devise an itinerary and book suppliers based on your expectations and interests. Of course, you are welcome to inquire and make suggestions throughout the planning process and during your visit.

Privacy

Privacy is of utmost importance to us. We comply with the General Data Protection Regulation(GDPR). Our privacy policy is available on request.

Payment Procedures

To begin preparation of your itinerary we require non-refundable Planning Fee (see How We Work tab for schedule of fees) to cover our administrative costs, coordination, development of itinerary document and support throughout your stay.

After approval of your itinerary, we require payment:

50% deposit if 31 days or more prior to your arrival; remaining amount at 30 days before your arrival
100% payment if 30 days or less prior to your arrival

Payment will be made in Euros in the amount presented on the invoice.

Amount transferred must include bank transfer fees.

Clients paying with Visa or Mastercard will need to add a fee coverage of 2%. This covers the bank cost of credit card processing. If paying by PayPal, we add 3.5%.

Cancellation

We appreciate that from time-to-time it may be necessary to cancel your plans. Full refunds of deposits are available for cancellations made 90 days or more prior to the arrival date. Refunds on deposits for cancellations made less than 90 days prior to arrival date will be subject to penalties based on the following schedule:

61-90 days = 30% of trip price
31-60 days = 50% of trip price
0-30 days = 100% of trip price

Liability

Portugal Confidential Experiences books reservations for hotels, restaurants, sightseeing tours and transportation companies throughout Portugal. As such, we cannot be held responsible or liable for any injury, loss, damage or delay arising out of, or in connection with any act, omission, neglect, accident, error or default of any such persons providing these services.

Portugal Confidential Experiences cannot be considered responsible for any alternation of the itinerary, if such alterations become advisable or necessary for the safety and/or well-being of the client(s). Portugal Confidential Travel will not be accountable for costs or other liabilities associated with any act of terrorism, war, accident, weather or any act of God.

Changes to Your Trip

We understand that you may need to make minor changes to your itinerary once it has been confirmed with your deposit. With sufficient advance notice, we will do our best to accommodate your needs. However, most changes will incur a change fee based on the schedule of fees on the How We Work tab. This cost is in additional to the original Planning Fee and non-refundable deposits.

Your Responsibilities

It is your responsibility to ensure that you have a valid passport and/or Schengen Visa to visit Portugal. Please consult with your nation’s State Department to make certain there are no travel advisories for the locations you plan to visit, as well as the embassies of the countries you plan to visit to make certain you are complying with all inbound tourism regulations. Please consult your doctor before travelling to ensure that you are healthy and up-to-date with any required vaccinations. We strongly recommend that your purchase travel insurance before your trip.
